Privacy & POPIA Policy

Rifle Printing respects your privacy. This policy explains what personal information we collect through this website, why we need it, who we share it with and the rights you have under South Africa's Protection of Personal Information Act, 4 of 2013 (POPIA).

Last updated: August 2026

01Who we are

Rifle Printing is a custom printing and branding company based in Kempton Park, Gauteng, South Africa. For the purposes of POPIA we are the responsible party for the personal information collected through rifleprinting.co.za — meaning we decide why and how it is processed.

02What personal information we collect

We only ask for what we need in order to quote on your job and get back to you. This website does not take payments, so we never ask for card or banking details.

Information you give us

  • Quote requests — your name and surname, email address, contact number, company name, and any delivery or artwork notes you add.
  • The items in your quote — the products, colours, sizes and quantities you selected.
  • Contact form enquiries — your name, email address, contact number and the message you send us.

Information collected automatically

  • Server logs — our hosting provider records standard technical data such as IP address, browser type, pages requested and the date and time, which is used to keep the site running and secure.
  • Local storage — your quote basket is saved in your own browser (see section 5).

We do not collect special personal information. We have no need for your ID number, race, health, religious or political information, and you should not send it to us.

03Why we use your information

What we doWhat it is used for
Prepare your quote To price the products, colours, sizes and quantities you selected and send the quote back to you.
Contact you To answer questions, confirm artwork and branding details, and arrange delivery or collection.
Fulfil an order To place stock orders with our suppliers and arrange branding and delivery of your goods.
Keep records To meet our accounting, tax and other legal obligations.
Run and protect the site To keep the website available, diagnose faults and guard against spam and abuse.

We do not sell your personal information, and we do not add you to a marketing list from a quote request. If we ever want to send you marketing, we will ask you first and every message will carry an easy way to opt out.

04Our lawful basis for processing

Under section 11 of POPIA we process your personal information because:

  • you have given it to us voluntarily by submitting a quote request or contact form;
  • it is necessary to conclude or perform a contract with you, such as quoting on and supplying branded goods;
  • it is required to comply with a legal obligation, such as keeping tax records; and
  • it serves our legitimate interests in running the business, provided those interests do not override your rights.

05Your quote basket stays on your device

When you add products to a quote, that list is stored in your own browser's local storage on your device. It is not sent to us, and we cannot see it, until you complete the quote form and press send.

You can clear it at any time by emptying your basket on the site, or by clearing your browser's site data for rifleprinting.co.za.

06Cookies and similar technologies

This website does not use advertising or tracking cookies, and we do not build a profile of you across other websites. We use browser local storage for the one purpose described above — remembering the items in your quote basket so they are still there if you navigate between pages or come back later.

Blocking or clearing site data will not stop you browsing the site; it will simply empty your quote basket.

07Who we share your information with

We share the minimum necessary, and only with parties who help us deliver your order:

  • Our suppliers — where a job needs stock ordered or branded, we pass on what is needed to fulfil it.
  • Couriers and delivery partners — your delivery address and contact number, so your goods reach you.
  • Our website and email hosting provider — which stores the site and carries the emails generated by the forms.
  • Our accountants and professional advisers — where required for record-keeping or legal advice.
  • Law enforcement or regulators — where the law requires us to disclose it.

Where a supplier or service provider is an operator under POPIA, they may only process your information on our instruction and must keep it confidential and secure.

Sending information outside South Africa

Our website and email are hosted in South Africa. If a service we use ever stores information outside the country, we will only use it where that country, the provider's binding rules or our contract with them offers protection substantially similar to POPIA.

08How we keep your information safe

Section 19 of POPIA requires us to secure the integrity and confidentiality of your personal information. We do this by:

  • serving the website over an encrypted HTTPS connection;
  • sending form submissions through an authenticated mail server rather than plain unprotected mail;
  • limiting access to quote and enquiry emails to the staff who need them to do their job;
  • using spam and abuse protection on our forms; and
  • reviewing these measures as the site and the business change.

No website can promise perfect security, but if a breach affects your personal information we will notify you and the Information Regulator as POPIA requires.

09How long we keep it

We keep your information only as long as we have a reason to, and then delete it:

  • Enquiries that do not become orders — kept for a reasonable follow-up period, then deleted.
  • Quotes and orders — kept for as long as needed to service the job and honour any warranty or reprint.
  • Records required by law — kept for the period the relevant tax and companies legislation requires.

10Your rights under POPIA

As a data subject you have the right to:

  • be told what personal information we hold about you, and ask for a copy of it;
  • ask us to correct or update anything that is inaccurate, misleading or out of date;
  • ask us to delete or destroy information we no longer have a lawful reason to keep;
  • object to processing on reasonable grounds;
  • withdraw consent you previously gave, without affecting anything done before you withdrew it;
  • not have your information used for direct marketing without your permission; and
  • complain to the Information Regulator.

How to exercise a right. Email our Information Officer at wilmarie@rifleprinting.co.za and tell us what you would like us to do. We may ask for proof of identity so that we do not hand your information to someone else, and we will respond within a reasonable time.

Requesting access to a record is done using the prescribed form under the Promotion of Access to Information Act, and a fee may apply for copies.

11Children's information

This website is aimed at businesses and adults placing orders. We do not knowingly collect the personal information of anyone under 18 without the consent of a parent or guardian. Where we sell children's clothing, the customer we deal with is the adult placing the order. If you believe a child has given us information, contact us and we will delete it.

12Complaints

Please raise any concern with us first — most issues are quickest to fix directly. If you are not satisfied with how we have handled it, you may lodge a complaint with the Information Regulator of South Africa:
